Cloud email, file sharing and business applications can make work more flexible. Plan the move properly with these questions.

Moving email, files and applications to the cloud can let your team work securely from the office, from home or on the road. A successful move starts with a clear plan rather than a rushed switch.
What are you moving, and why?
List the systems your business relies on today: email, shared folders, accounting software, line-of-business applications and backups. For each one, note the problem you want the cloud to solve, such as remote access, easier collaboration or reducing reliance on an ageing server.
Who needs access to what?
Moving is a good time to tidy up permissions. Decide which teams need which folders and applications, and remove access for people who have left the business.
How will your systems work together?
Some applications connect easily, while others need configuration or integration work to share data. Identifying these connections early avoids surprises after the move.
Plan the migration itself
- Back up everything before you start.
- Move in stages, starting with a small group of users.
- Schedule the switch for a quieter period to limit disruption.
- Give staff simple instructions for signing in and finding their files.
- Turn on multi-factor authentication from day one.
